1  Introduction

Kosiboks AS ("we") is concerned that you should trust us and how we process your personal data. In this privacy policy, we therefore explain why we collect information about you, how we use this information and how we take your privacy into account.

Personal information is information and assessments that can be linked to an identifiable individual. This could be, for example, name and contact information, purchase history or information about interests.

Use of personal data must comply with the Personal Data Act. We, as the controller, will ensure that we use personal data about you in accordance with the rules of the law.

The website Kosibox gives you the opportunity to use our services. Kosibox is owned and operated by Kosiboks AS org.no. 928 285 219, Vakåsveien 9, 1395 Hvalstad. Responsibility for follow-up of privacy is the daily manager. We have good routines for access management, storage and processing of data.

2  What personal data do we have about you

Depending on what information you give us, how you use our services, and what permissions you give us, we have the following information about you:

  • Information about you: Information you provide when you create a user account or purchase products, such as name, address, telephone number and email address.

  • Information about recipient of products (gift recipient): Information you provide when you send a product to an address that is not your own. This includes the name, address, phone number and email address of the recipient.

  • Purchase information: Information we receive when you buy products from us, such as what you have purchased, card number and payment method (e.g.e.g We saw). If you have a user account with us, you will get an overview of your previous purchases in your user account.

  • Communication: Information you give us when you have contact with our customer centre, such as emails sent between us.

  • Messages you write to a gift recipient: If you write a greeting to the recipient of the product, this information is used to produce the service.

  • Information about use of the website: Information we receive when you use our website, such as the type of device you have (e.g.e.g mobile or PC), IP address, which pages you visit and which functions you use there.

  • Information from partners: Information we receive from our partners, such as logistics companies.

  • Profiling information: Information and assumptions we make automatically based on the other information (mentioned above) we have about you, such as your preferences and interests and which demographic groups you belong to.
  • Uploaded images: Uploaded images and photographs to be used as part of the order

3  What do we use the personal data for

We use your personal data for the following purposes: 

  1. Offer website and app: We use information to adapt our website to the technical equipment you use. We can also use the information to adapt the content of our website to what we think you are interested in.

  2. Completing orders: We use information to complete your purchase, e.g.a to send our products to the recipient, receive payment and store purchase history.

  3. Create a user account: We use information if you create a user account, e.g.a to give you access with a username and password, to store your contact information and payment information, and so that you can view your purchase history.

  4. Customer service: We store information that you provide and receive if you have contact with us to provide service and manage your customer relationship.

  5. Statistics: We prepare statistics and map market trends to improve and further develop our products and services. As far as possible, we do this with anonymous information, without us knowing that the information is linked specifically to you.

  6. Marketing: We use your contact information (e.g.e.g telephone number and email address) to send you recommendations and information about our products. We may use profiling information to make the recommendations and information as relevant as possible to you, unless you have objected to this.

  7. Image order:  If you choose products where we produce images, we will use the graphic material that you give us.

The legal basis for purposes 1, 4 and 5 is our legitimate interest in being able to offer, further develop and market our services.

The legal basis for purposes 2, 3 and 4 is to fulfill our contract with you.

The legal basis for purposes 5 can also be your consent.

4  Whom do we share personal data with

Our partners cannot use personal data about you for any other purpose than to provide the service agreed with us.

We share personal data with companies that provide technical and administrative services to us, such as IT providers. We have agreements with these to ensure your privacy.

We use IT suppliers outside the EEA. If we transfer personal data outside the EEA, we ensure that privacy is protected through the conclusion of contracts. You can request more information or a copy of the security mechanisms we use to ensure the transfer of the information.

We share personal data with logistics partners so that they can deliver to you, or to a third party (gift recipient). We have contracts with logistics partners that regulate how they can handle your personal data.

Other partners include providers of payment solutions, credit assessments when applying for a company account and debt collection services.

We may also share anonymised information with collaboration partners for e.g.a market analyzes and service development.

We may hand over information in individual cases, for example to public authorities, in the event of suspicion of an offence.

5  How long do we store personal data

We keep your information until you ask us to delete it, or for as long as the law requires us to keep it. You can contact us at any time and request that your personal data be deleted. Kosibox can on its own initiative delete data earlier if we make changes to how we fulfill our service.

We cannot delete information that we are legally obliged to keep, this applies for example to vouchers, which according to the Bookkeeping Act are stored for 5 years.

6  Your Rights

You can ask us to:

  • Give you a copy of personal data about you.

  • Update your personal information.

  • Delete information that we no longer have grounds to keep.

  • Restrict or stop the processing of your information

  • Oppose automated individual decisions, including profiling.

  • Provide you with information you have provided to us in a structured, commonly used and machine-readable format or, where technically possible, ask us to transfer it to another business.

  • Withdraw any consents you have given us.

Be aware that there are limitations to these rights. Please feel free to contact us if you would like more information about this.

If you believe that we are processing personal data in breach of the Personal Data Act, you have the right to complain to the Norwegian Data Protection Authority. Before you possibly do this, we would like you to contact us so that we can answer your questions or clear up any misunderstandings.
